  • Delivery Data: Pickup/drop-off locations, recipient names, and signatures for Proof of Delivery (POD).

  • Vehicle Data: GPS tracking and temperature logs associated with specific delivery runs (which may contain client/lab references).

Note on Health Data: We act as a Data Processor for our clients (labs/hospitals). We do not typically access patient medical records, but we move samples (UN3373) that are linked to clinical data. We treat all transport manifests as highly confidential.

4. How We Get the Information and Why

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To provide a quote for logistics services.

  • To fulfill a delivery contract (notifying you of van arrival, etc.).

  • To maintain GDP (Good Distribution Practice) records and temperature logs for audit purposes.

 

Lawful Bases: Under the UK GDPR, we rely on:

  1. Contractual Obligation: We need your data to carry out the delivery.

  2. Legal Obligation: We must keep records (e.g., for HMRC or MHRA audits).

  3. Legitimate Interests: To improve our route efficiency and secure our vans.

  • Subcontractors: Only if they are helping fulfill your specific delivery.

  • Regulatory Bodies: Such as the MHRA, GPHC or ICO if legally required for an audit.

  • IT Providers: Secure cloud storage for our Proof of Delivery (POD) systems.

We keep your information only as long as necessary:

  • Invoices/Financial Records: 6 years (HMRC requirement).

  • Temperature Logs/Delivery Records: [e.g., 5-7 years] to comply with medical logistics audit standards.
